0:00 Hi, my name is Rory. I'm a member of the customer team at Functionly and in this video we're going to run through how to import using a CSV.
0:08 Now, if your HRIS or your payroll system can export to CSV, then it's very easy to import it into Functionly with a little bit of mapping of the correct fields.
0:18 And if there isn't an exact match for field, but we have a solution for that as well. Um, so you can either select import above the, uh, the top position in your, your chart or in this case might top blank position or you can choose to show left menu in the top and then select import on the left-hand
0:39 side. You can see the other methods of import here including Slack, an existing scenario and then various HRIS and payroll systems that we integrate with.
0:50 But for this we're going to choose CSV. There is a certain minimum number of data that are required in order to import people and that's name is basically the only thing, it has to be able to dictate what someone's name is, and then for creating manager hierarchy or creating a hierarchy and importing
1:10 a structure, it just needs to be able to dictate the important engine needs to be able to dictate and discern who people's managers are.
1:18 So I'm going to go ahead and choose my demos and our demo CSV. And this is our mapping steps that is where we decide how our columns are going to map.
1:28 So we can see on the left-hand side we have my columns here on the right-hand side We have our functionally fields here and then there this is my sample data from the top five lines below my headers So we'll go ahead and map position ID That's defined by me and you can see the position IDs for each position
1:47 here First name, last name, self-explanatory Full name to name, this may update to full name in our system our product team is still doing work to the CSV engine, email, job title to title.
2:04 We don't actually have a business unit field in functioning, but I'm going to include it as a custom field, so it will still import, and I will be able to see that in the product.
2:14 Color, you can give colors from one to 16. I've done it based on my business units for the purposes of this manager.
2:21 So that's manager name. This is one of the ways in which it can understand the hierarchy of your org chart just by working out who each person's manager is.
2:30 It will then start to create that kind of trickle-down effect. FT is someone's full-time equivalent, so full-time is one and point eight would be four days a week.
2:42 Avatar if you have your avatar stored on a public server with no passwords, then you can import them. annual base compensation, assuming they're working full-time.
2:56 Aralee-based compensation, I've included two for our contract workers here. They're work hours for the week. They're work weeks for the year.
3:05 And then we've got vacancy status here. So they're defined vacancy status within the product to show at which stage in the hiring process they're at.
3:12 And we can see here, we've got accepted. That's when the candidate is accepted. There's also draft and then we've got approved.
3:18 So draft is when you're working on that vacancy and then approved as once it's been approved for hiring. We have a help center article that's very detailed on this.
3:31 And then we have finally start date and this is mostly for our vacancies just to show when they're going to start.
3:36 So I'll confirm that and we'll go to our confirm mapping. And then we can see a few errors in here.
3:42 We can see down the bottom, we've got two errors and then we've got 125 warnings. So warnings are, they mean that you will still be able to import, but it's just kind of mentioning it to you just to say, you know, is this what you had intended?
3:58 Errors, it won't allow you to import because there's something wrong there at that stage. Now, we don't expect you to be able to just sift through all those lines of data and find those various errors.
4:09 You kind of if you want, I'm going to use our toggle to filter just to our errors. And we can see here that we've got an eva you can see with some errors.
4:21 So we'll just quickly scroll across. And we can see that we've got approved has been misspelled by me. So we'll add a p in there.
4:31 And that error, that's sorry, that error has disappeared. And here if we hover over it, we can see no date format matches the supplied dates.
4:40 And that's because I've got the wrong date format in. So I'll change that to 25.9. And now all of our errors are gone.
4:52 So we've just got warnings. And the warnings are pertaining to color. And it's basically just because we're importing color for the first time.
5:02 So I'm going to go ahead and preview those changes. And we can see here that we've got 126 new positions are going to be created, and we'll go ahead and import.
5:17 So we can see here that our structure has been imported, and if we zoom to fit, we can see the whole structure here.
5:26 And if we want to zoom in on any part of it just to double check it, we can do that as well.
5:30 We can see our custom field here has been added to every position as well, and that we've got our full structure.
