How To Delegate Scenarios

Delegating scenarios allows others to access the bits of your org chart without accessing everything.

2. When should you delegate scenarios?

By delegating a part of a scenario, you're granting access to select parts of your org chart and its certain data, to people who need access. As an example, you might have a manager who needs access to their department, including compensation, so that they can propose a new structure or new hires. The delegated part of the org chart becomes its own scenario that shares a link to the original, so that, when changes are proposed, you, as the owner of the main scenario, have the option to accept and merge proposed changes.

In short, it allows you to get very granular in how much access you want to give.

3. Delegate from the org chart

There are a few different ways to delegate a part of your scenario, but the fastest directly on the org chart.

Steps:

  1. Locate the part of the org chart you want to delegate
  2. Right-click on the top position or group
  3. Select "delegate"
  4. Choose the data you want them to access
  5. Input the email address for the person you're sharing with
  6. Choose the access level you want to grant

4. Delegate using copy

⚠️ When you copy a scenario for the purposes of delegating, be sure to untick "Positions, people & groups not on the org chart" if you don't want the person you're delegating to be able to access anything other than positions on the org chart. ⚠️

Steps:

  1. Click the dropdown next to the scenario name
  2. Select "copy"
  3. Change "data to copy" to custom
  4. In "top item, search the person or group you would like to be at the top of the related scenario
  5. Tick or untick the other settings as desired
  6. Select "Make a copy"
  7. Share with the person you're delegating to

5. Tag as delegated

Tagging as delegated provides an at-a-glance indication for anyone in the workspace what the primary purpose of a scenario is.

Steps:

  1. Click "Add tag"
  2. Select your chosen tag or create your own by typing in the search field

6. Removing people not in the chart

Whenever you copy a scenario, it's important to think about who will have access to the scenario and whether they should be able to access positions that are not in the chart. If "Positions, people & groups not on the org chart" is ticked, then any positions that are not on the chart will be available in the left-hand menu, including any compensation or sensitive data.
